Summary of Job:

This position assists the Department Manager to administer the department on a day-to-day basis. Typically, maintains departmental records and reports used to track the entire production, communicates to departmental personnel the day’s scheduled events affecting them, arranges key meetings and provides general administrative support.

General Duties and Responsibilities:

1. Enter detailed data into the production database and related departmental records to reflect scheduled, in-progress, and completed departmental work.
2. Assist in scheduling meetings. Prepare for, and record the outcomes of meetings.
3. Manage the schedules of key personnel to help ensure the department’s productivity.
4. Act as a point of coordination of work requests or packets that are entering or leaving the department to ensure their completeness, Assist the department manager and creative lead(s) to identify and resolve personnel issues.
5. In the absence of the department manager and on a stand-by basis, respond to requests for information and assistance.
6. Provide administrative support as needed to ensure that communications, notifications, and record-keeping are complete.

Background, Knowledge, Skills, and Abilities Required at Minimum:

1. Three years of clerical experience, preferably as a Production Assistant in feature-film or short-film production.
2. Understanding of production terminology and the production environment.
3. Computer literacy and ability to work with database as well as standard word-processing and spreadsheet software.
4. Ability to work autonomously and on a team.
5. Ability to maintain focus on detailed priorities in a dynamic work environment.
6. Ability to organize and communicate with others.
